    Title EA/PA to International Director
    Description

The Medical Protection Society Limited (“MPS”) is the world’s leading protection organisation for doctors, dentists and healthcare professionals. We protect and support the professional interests of more than 300,000 members around the world. Membership provides access to expert advice and support together with the right to request indemnity for any complaints or claims arising from professional practice.

We are currently recruiting for an Executive Assistant (PA) to provide support and assistance to our International Director.

Executive Assistant (PA) duties will include:
    • Managing all correspondence, telephone calls and queries coming into the director’s office.
    • Working closely with the other EA’s.
    • Managing extensive and complex travel requirements – This will include extensive and complex international travel.
    • Ensuring the departmental business continuity plans and documentation are kept up to date in the event of a disruption to business.
    • Managing the organisation of all meetings, sourcing of venues and hotels for events
    • Managing all administrative requirements and responding to correspondence in a timely and professional manner
    • Developing and maintaining effective working relationships across all departments.
    • Minuting general meetings as required and completing research on behalf of the Executive Director of International and accurate and timely preparation and distribution of various board meeting papers.
    • Assisting the Executive Director and any direct reports in gathering and submitting on time various reports such as the balanced scorecard and internal audit reports and actions

On occasion, active projects may require progression in the absence of the Director and the Executive Assistant/PA would be responsible for liaising with the relevant stakeholders to do so. Because of this we are seeking a candidate with excellent commercial awareness, communication skills and proactivity.

Our International Director travels frequently, often visiting more than one country in each trip, so it is essential that the EA has extensive experience of organising international travel and itineries.

Applicants must demonstrate the ability to prioritise, remain calm under pressure and remain focused. The EA/PA will have to cope with an ever shifting set of priorities so flexibility, adaptability and change responsiveness are essential attributes.

This is an exciting opportunity for an experienced EA/PA to work closely with the Director during implementation of a new business restructure of our international operations. You will be solely responsible for assisting her but will have the support of the other EA’s within the Exec Hub.

In order to apply for this Executive Assistant/PA post, candidates will need significant experience in EA/senior secretarial/PA positions and be able to demonstrate a track record with working for senior management in an organisation. You will also need to be able to evidence supporting a Director who travels internationally on a regular basis. Travel to our London office will be required on occasion, and overseas travel may be required in the long term.
