    Position Summary

    The Executive Assistant to the Managing Director plays an important role in ensuring the smooth running of the Film Theatrical department. The role ensures that the MD has the support they need to be able to deliver both in the office and when travelling and ensures that the department is operating effectively. Success in this role is spinning many plates without letting them drop, and proactively seeking out solutions to problems before they occur.


    • To undertake first class diary management and provide administrative support for the Managing Director
    • To provide administrative support for Managing Director’s internal and external meetings, including markets and festivals. This will involve scheduling meetings, booking meeting rooms and external venues and liaising with partners and colleagues alike
    • To organise travel arrangements and itineraries for the Managing Director including booking flights, hotels, transport, visas, screening rooms, accommodation, car hire, taxis and restaurants
    • To process expenses on an accurate and timely basis for the Managing Director
    • To project a professional image of Entertainment One by dealing with all correspondence and communication in a polite and professional manner at all times
    • To maintain and update databases and filing systems where necessary
    • To undertake any other administrative tasks which will ensure the smooth running of the Film division
    • To take the minutes for the Managing Director meetings if necessary
    • Processing all invoices under your remit, ensuring sign off from the relevant manager within the Film division
    • Ensure that all materials are current and in stock, including Business cards
    • To organise screenings and events, including booking venues, arranging catering, collating materials, preparing goody bags and handouts, troubleshooting etc
    • General assistance

    • A Positive, collaborative attitude with a hands-on, can do approach
    • Discrete and professional approach with the gravitas expected of a senior Executive Assistant
    • Demonstrable experience of managing busy and complex diaries of senior executives
    • Demonstrable experience of arranging, booking and managing complex international travel itineraries and bookings
    • First class communication skills and the disposition to remain calm under pressure
    • Flexibility in approach – be able to problem solve outside office hours if the situation demands it
    • Collaborative team worker able to flex style to influence and work with multiple and varied stakeholders
    • Ability to proactively identify solutions, head problems off at the pass and create more efficient and effective ways of working
    • Strong IT skills to be able to able to use various conference calling systems including Skype, Zoom, Teams and Google Hangout
    • Advanced Outlook and Microsoft suite skills
    • A careful and considered approach to diary management making sure MD is aware of changes and updates
    • Accurate and sensible diary planning and travel itineraries
    • Managing workloads for the Managing Director, Film
