The ultimate office party checklist: An EA’s guide to a stress-free Christmas

As December approaches, every Executive Assistant and PA knows what that means… party season. From corporate Christmas dinners to end-of-year celebrations, the spotlight falls on the people who make it all happen behind the scenes. Frankie Lyons, PA to Liz Taylor, Founder of Taylor Lynn Corporation (TLC) shares her ultimate office party checklist…

At Taylor Lynn Corporation (TLC), we know that when a celebration is planned with thought and attention to detail, it unites teams, lifts spirits, and reminds people why they love where they work.

So, whether you’re planning an office Christmas party or attending the PA Life Christmas Party at Tottenham Hotspur Stadium (for which TLC is proud to sponsor the entertainment throughout the evening), my PA-approved checklist will help you make sure your event hits all the right notes:

The ultimate office party checklist – as tried and tested by a PA to top party planner

  1. Start with purpose
Ask yourself what the celebration is truly about: is it a ‘thank you’ to your team, does it build on ‘morale’, or create ‘connection’? Once you know the ‘why,’ decisions around the venue, menu, and tone naturally fall into place.
  2. Plan early (but don’t panic if you haven’t)
Christmas dates book up fast, but don’t worry. Even if you’re short on time, reaching out to an experienced event planner can work miracles.
  3. Quick wins for big impact
Use digital RSVP tools, hire suppliers who multitask (production, décor, and entertainment under one roof), and always pack a survival kit… safety pins, snacks, and a spare charger can go a long way, and you never know when you might need them.
  4. Details make the difference
Think personalised touches like bespoke menus, hand-written bauble place holders, or signature arrival drinks. For one recent dinner in Cheshire, we designed menus featuring each guest’s favourite festive song – a small gesture that made a lovely impact with the guests.

End on a high

Close the evening with something memorable, such as a live performance, a heartfelt speech, or photo montage that reminds your team how special the year’s been.

TLC Tip: Whether you’re attending or organising, take inspiration from this year’s PA Life Christmas Party… live entertainment, immersive décor, and an atmosphere designed to bring people together.
